Fleet Mileage Tracker
See every vehicle, every driver, every mile — from one dashboard.
Real-time visibility for small and mid-sized fleets — without a telematics box on every vehicle. Drivers install AutoDrive on the phone they already carry; you get live positions, automatic trip logging, reimbursement-ready reports, and safety scores across the whole fleet.

Fleet management without the hardware bill
The telematics category was built for trucking — heavy capex, multi-year contracts, a box per vehicle. AutoDrive gives a service company with eight vans the same visibility, running on the phones drivers already carry.
Fleet dashboard
Vehicles, drivers, total miles, and reimbursement — aggregated across the whole fleet, with capacity against your plan caps.
Live tracking
Every active driver on a live map — where they are, heading, and speed, refreshed in real time. Plus route replay and geofence alerts.
Drivers & roles
A roster with owner, admin, and driver roles. Driver-mode members are scoped server-side — they see their own data, you see the fleet.
Mileage reimbursement
Business miles × your rate, grouped by driver and vehicle, at the current IRS rate — reimbursement and Schedule C deductions both covered.
Reports & compliance
IRS-ready mileage logs and fleet reports, exported to a clean PDF you can hand to accounting or an auditor — built in the Report Builder.
Safety & Drive Score
Every drive scored on-device for harsh braking, acceleration, and cornering. Driver leaderboards turn safety into something you can coach.
The whole fleet, on one screen
Aggregate every driver and vehicle into a single command center: total drives, miles driven, drivers registered, and reimbursable dollars — each with a trend against the prior period. A Fleet capacity card shows how close you are to your plan’s vehicle and driver caps before you add the next seat.
- Fleet-wide totals. Drives, distance, drivers, and reimbursement roll up across everyone.
- Top drivers & vehicles. See who’s putting on the miles, ranked by share of the total.
- Capacity at a glance. Vehicles and drivers used against your plan cap — turns red as you approach the limit.
See every van on the map, right now
LiveDrive puts every active driver on a live map — their position, heading, and speed, refreshed every few seconds. Dots are color-coded by how fresh the signal is, so a stale position is obvious at a glance. Maps are drawn with Leaflet and OpenStreetMap — no per-vehicle GPS box required.
- Live positions. Where each driver is, where they’re heading, and how fast.
- Freshness at a glance. Green when broadcasting, amber when delayed, grey when offline.
- Route replay & geofences. Replay any trip, and get enter/exit alerts when a van reaches a job site or leaves the yard.
Onboard a driver in about a minute
Invite someone by email, pick their role, and they install the app — that’s the whole onboarding. Owners and admins manage the fleet and see everything; driver-mode members are scoped server-side, so they only ever see their own drives while their mileage still rolls up into your reports.
- Roles that fit a fleet. Owner, admin, and driver — managers get the rollup, drivers get their own view.
- Seats against your plan. A live “N of M” count for vehicles and drivers, turning red at the cap.
- Privacy by design. Driver-mode scoping means personal time stays personal — you see fleet activity, not their weekend.
Reimbursement math, done for you
Every business mile is multiplied by your rate — the current IRS standard rate, or a custom one — and grouped by rate, classification, driver, and vehicle. Preview the report, then export a clean, IRS-ready PDF through the Report Builder to hand to accounting or keep for an audit. It follows IRS Publication 463, so the mileage log substantiates the deduction.
- Rate × miles, automatically. Business vs. personal split, totalled to the dollar.
- IRS-ready exports. Mileage logs and reimbursement reports as a clean PDF — no spreadsheet wrangling.
- Per-driver & per-vehicle. Slice the same report by who drove and what they drove.
| Rate | Class | Drives | Distance | Rate | Reimbursement |
|---|---|---|---|---|---|
| Standard Business | Business | 312 | 6,240.5 mi | $0.6700/mi | $4,181.14 |
| Client Site | Business | 88 | 822.4 mi | $0.6700/mi | $551.01 |

Coach safety before it becomes a claim
Every drive is scored on-device for harsh braking, hard acceleration, and cornering — normalized per 100 miles, the telematics standard. A fleet score, an events-by-type breakdown, and a per-driver leaderboard turn safety into something you can actually coach, and the lowest-scoring drives float to the top for a quick look.
- One fleet score. The whole operation’s safety in a single number, trended over time.
- Driver leaderboard. Rank drivers by score — recognize the safe ones, coach the rest.
- Worst-drives shortlist. The handful of drives worth reviewing, surfaced automatically.
No hardware. Just the phone they already carry.
No OBD-II dongles, no installer appointments, no per-vehicle hardware fee, no multi-year contract. Drivers run AutoDrive on their own phone and AutoTrack starts and ends every trip automatically — so the fleet is live the day you sign up, and a van that swaps drivers doesn’t need a thing re-wired.

Fleet questions, answered
Do I need to install hardware in each vehicle?
No. AutoDrive runs on the phone each driver already carries — there are no OBD-II dongles, no installer appointments, and no per-vehicle hardware fee. AutoTrack senses the drive and logs every trip automatically, so a van that swaps drivers needs nothing re-wired.
How many vehicles and drivers can I have?
The Fleet plan covers up to 20 vehicles and 20 drivers. You can add capacity one seat at a time for $9.99 per month each, and for larger operations AutoDrive Fleet scales beyond those caps — just ask.
Can drivers see each other's data?
No. Driver-mode members are scoped server-side: a driver only ever sees their own drives, while owners and admins see the whole fleet. Their mileage still rolls up into your reports, but a driver cannot widen their own access — privacy is enforced on the server, not just hidden in the app.
How does mileage reimbursement work?
AutoDrive multiplies each driver's business miles by your mileage rate — the current IRS standard rate or a custom one — and groups the result by rate, classification, driver, and vehicle. The report follows IRS Publication 463, so the mileage log substantiates the deduction, and you can export it as a clean PDF for accounting or an audit.
Does it work on both iPhone and Android?
Yes. Drivers can be on iPhone or Android, and managers run AutoDrive Online in any browser — no install needed. Everything syncs across all three, so the dashboard, live map, and reports always reflect the whole fleet.
What is live tracking, and is it always on?
LiveDrive shows each active driver's real-time position, heading, and speed on a Leaflet/OpenStreetMap map, with route replay and geofence enter/exit alerts. It is a Fleet add-on that requires driver consent, and off-hours scoping respects that personal time is personal.
