🧾 Driver Taxpayer / IRS Details

Populate optional IRS-substantiation fields on a driver profile so every mileage-log report stamps a taxpayer header matching Pub. 463 / Form 2106 / Schedule C.

When the IRS (or your employer) asks for a mileage log, the log needs to identify the taxpayer in addition to the trips. The Taxpayer / IRS Details section of a driver profile lets you supply that information once so every report AutoDrive generates stamps the right header automatically.

The fields are optional

None of these fields are required — reports still generate fine without them. Fill in what applies to you:

  • Phone number
  • Business / DBA name
  • Occupation or nature of business
  • Tax ID (EIN or SSN)
  • Employee ID (for Form 2106 reimbursements)
  • Mailing / business address (line 1 & 2, city, state, postal, country)

Where it appears on reports

If you pick a specific driver in the Report Builder's Driver (header) dropdown, that driver's details render as a card at the top of the PDF — right under the date range. If you leave it on All Drivers, the report prints one card per driver that has at least one taxpayer field filled in. Empty fields are omitted so the header stays compact.

Turning it off for internal reports

The Include driver / taxpayer details in report checkbox on the Report Builder toolbar toggles the whole header off. Use it when you're running an operational mileage report you don't want to carry taxpayer data.

Where is this data stored?

Driver IRS fields are stored in your AutoDrive account database, next to the driver profile itself. Access is limited to account-group members. We do not share tax IDs with third-party analytics or ad networks. See the Privacy Policy for the full data-handling disclosure.
