How AutoDrive collects, uses, and protects your data.
Effective Date: April 22, 2026
Wrights Creative Services, L.L.C. ("we", "us", or "our") operates the AutoDrive mobile application and associated web services (collectively, the "Service"). This Privacy Policy explains how we collect, use, store, and protect your information when you use our Service.
When you create an account, we collect:
AutoDrive uses your device's GPS to automatically detect and record drives. This includes:
Location data is collected only while the app is actively tracking a drive or monitoring for drive detection. You can disable automatic drive tracking at any time in Settings.
For each recorded drive, we collect:
When you add a vehicle, we may collect:
When you record a fuel purchase, we collect the fuel type, gallons purchased, total cost, odometer reading, date, and any notes you add.
We collect limited device information to support the Service:
If you choose to assign drivers from your contacts, the app will request access to your device's contact list. We only read contact names for driver selection and do not upload your contact list to our servers.
The app uses your camera solely for scanning vehicle VIN barcodes. Images captured during scanning are processed on-device and are not stored or transmitted.
If you create or join an Account Group to share vehicles, drives, drivers, fuel logs, and charging logs with household members or fleet teammates, we store the group's name, your role in it (owner or member), and the data you contribute under that group. Membership is visible to other members of the same group. You can leave a group at any time from AutoDrive Online; drives you recorded while a member remain attributed to you, and drives the group owner contributed remain with the group.
Driver profiles support an optional Taxpayer / IRS Details section where you can record substantiation metadata used by IRS Publication 463, Form 2106, and Schedule C mileage logs. The fields are: phone number, tax ID (EIN or SSN), business / DBA name, occupation or nature of business, employee ID, and a mailing or business address. These fields are entirely optional — reports generate fine without them. When populated, the data is used only to stamp the "Driver / Taxpayer" header on mileage-log reports you generate in the app. It is stored at rest in our database next to the driver profile itself, is visible only to members of the same Account Group, and is not shared with advertising networks, analytics providers, or any third party. You can clear these fields at any time by editing the driver profile, or have the entire driver record deleted by deleting the driver in the app.
To diagnose support issues an AutoDrive administrator may, with the relevant user's knowledge, open a short-lived shadow session of that user's account using an internal admin tool. Shadow sessions are marked in the user's own interface with a persistent top banner identifying the session as administrative and displaying a 1-hour countdown to automatic expiry. Every action performed during a shadow session is logged with an ADMIN_SHADOW_ACTION tag alongside the administrator's identity, so the full action trail is attributable and auditable. Shadow sessions do not confer access to a user's password.
When you purchase a paid subscription or add-on, we receive and store a receipt or verification token from Apple, Google, or Paddle that tells us your current plan tier, renewal date, and whether the subscription is active. We also store an invoice record per charge (date, amount, currency, status, and the processor's hosted receipt / PDF link when available) so you can review your billing history on the Billing page inside AutoDrive Online. We do not receive or store your credit card number, debit card number, or full billing address — those are handled exclusively by the payment processor you purchased through. Refunds, grace periods, and cancellations reported by those processors are reflected in your account's entitlement and on your invoice ledger.
For Paddle web purchases only, Paddle acts as the merchant of record for the transaction. In that capacity Paddle may collect additional information from you (billing country, tax ID, card details, fraud-prevention signals) directly; that information is held by Paddle under their own privacy policy, not ours. We receive only the non-sensitive metadata described above. Billing-related correspondence from us comes from billing@theautodriveapp.com. For refund and cancellation terms, see our Refund Policy.
When you visit our website at theautodriveapp.com or use AutoDrive Online in your browser, we collect first-party analytics to understand how visitors find and use the Service. This information is stored in server log files we control; we do not use Google Analytics, Facebook Pixel, or other third-party tracking pixels. Collected data includes:
ad_vid (a random 24-character identifier, 1-year lifetime) to recognize returning visitors, and ad_sid (a random 16-character identifier, browser-session lifetime) to group page visits into a single sessionThese analytics are stored as plain-text log files for up to 90 days, after which they are rotated off the server. We use them only in aggregate to understand traffic patterns, improve content, diagnose site errors, and measure the effectiveness of our marketing.
Opting out. If your browser sends a Do Not Track signal, we automatically disable the client-side engagement tracker and do not set the ad_vid or ad_sid cookies. You may also opt out at any time by opening your browser's developer console on any page of our site and running localStorage.setItem('ad_analytics_opt_out', '1'); the tracker will no-op on every page load thereafter.
If your account is a member of a Fleet group that has activated the optional LiveDrive addon and a Fleet administrator has enabled LiveDrive on your driver profile, AutoDrive may, only after you separately accept the on-device LiveDrive consent prompt, receive your device’s current GPS coordinates (latitude, longitude), speed, heading, accuracy, and a captured-at timestamp approximately every thirty (30) seconds while the AutoDrive app has location permission and a network connection.
For each broadcasting driver we store only the most recent position in a single row keyed by your user id. We do not retain a history of your fixes for LiveDrive purposes. The most recent row is automatically deleted within five (5) minutes after broadcasts stop, and is deleted immediately when you revoke consent, your administrator disables LiveDrive on your driver profile, or the group’s LiveDrive subscription lapses or is canceled.
You can pause broadcasting for up to twenty-four (24) hours, or revoke your consent entirely, at any time from Settings → LiveDrive inside the app. Records of LiveDrive toggles, consents, pauses, and revocations (without GPS coordinates) are retained in an audit log for seven (7) years for legal-defensibility purposes.
LiveDrive processing is governed by both this Privacy Policy and the separate LiveDrive Data Processing Addendum, which describes AutoDrive’s role as a processor and the Fleet customer’s role as the controller of LiveDrive data.
We use the information we collect to:
